This Privacy Policy outlines how we collect, use, store, and safeguard data within the Fleet Management Platform and Fleet Management application across all user roles, including Superadmins, Company Admins, Transport Agencies, and Drivers.

2Information We Collect

We collect information necessary to operate, manage, and verify fleet operations:

• Account & Profile Information: Name, business email, mobile number, company name, agency details, and role credentials.
• Transport Agency & Vehicle Documentation: GST Tax IDs, Registration Numbers, Agency Registration Certificates, Owner ID proofs, Vehicle Fitness Certificates (FC), and vehicle photographs uploaded during onboarding.
• Driver & License Data: Driver names, contact numbers, assigned agency, driving license numbers, and active/suspended status records.
• Trip & Location Tracking Data: Real-time GPS location tracking during active trips, start and end odometer readings, uploaded odometer photo verification, estimated distance (Google Maps routing), and calculated mileage discrepancies.

3How We Use Your Information

The collected data is exclusively utilized for core fleet operations:

• Tracking active driver trips and verifying mileage accuracy between app GPS tracking and actual odometer readings.
• Onboarding and managing partner transport agencies, company fleets, and registered vehicles.
• Generating fleet analytics, trip discrepancy reports, and operational audits.
• Enforcing role-based access controls and maintaining account security across active user sessions.

4GPS & Location Data Usage

GPS location tracking is activated strictly when a driver initiates a trip within the mobile application. Location data is processed solely to calculate trip distance, monitor route accuracy, and detect discrepancies against vehicle odometer readings. Location tracking terminates upon trip completion.

5Data Protection & Security

We implement industry-standard administrative, technical, and physical security measures to safeguard all uploaded vehicle documents, driver credentials, and trip records. Role-based authorization ensures users can only access data within their assigned organization scope.

6Data Sharing & Third Parties

We do not sell, rent, or monetize your personal or operational fleet data. Data is shared internally between authorized Superadmins, Company Admins, and partner Agencies solely to facilitate fleet management services.
